Respond to an Angry Complaint

De-escalate a heated complaint with a calm, genuine response — the first step to resolving it.

Beginner5 minemail

What you'll need

  • The customer's complaint (their exact words)
  • Any AI chat assistant

The steps

  1. Copy the customer's complaint as written — don't summarize it.
  2. Paste the prompt, then the complaint underneath.
  3. Read it once before sending — make sure it sounds like you.
  4. Send within the same day if possible.

The prompt

Help me respond to an upset customer without getting defensive.

Here's their complaint:

[paste their message here]

Write a calm, genuinely empathetic reply under 120 words. Acknowledge specifically what went wrong (don't just say "sorry for the inconvenience"), avoid over-explaining or making excuses, and end by asking what would make this right for them — don't propose a solution yet, just open the door.

Once you know what they want

They responded with what would make it right: [paste their reply]. Help me write a reply that either agrees to it or offers a fair alternative.

What you'll get

A calm, specific, non-defensive response that de-escalates the moment and opens the door to a real fix.

If it's not quite right

  • They're being unreasonable? Add "Stay empathetic but hold a firm boundary on [specific thing]."
  • Public complaint (review/social)? Add "Make this appropriate to post publicly, not just email."
