Hand It Off Cleanly
Write a clear delegation brief so someone can take a task off your plate and run it without coming back with questions.
Beginner5 minemail / chat
What you'll need
- The task or SOP you want to delegate
- Who's taking it on
- Any AI chat assistant
The steps
- Have the task (or its SOP) and know who's taking it.
- Paste the prompt and fill in the brackets.
- Send the brief along with the SOP.
- Agree on when they'll check back.
The prompt
Write a clear hand-off brief so I can delegate this task without getting a dozen questions back. The task: [what it is] Who's taking it on: [name / role] What "done well" looks like: [your standard] Deadline or cadence: [when] What they can decide alone vs check with me: [boundaries] Keep it warm and clear. Cover the goal, the steps (or where to find them), what good looks like, and how to handle questions. End with one line inviting them to ask if anything's unclear.
Check understanding
Give me three quick questions I can ask them after they read this, to confirm they've got it before they start.
What you'll get
A delegation brief that sets someone up to succeed — clear goal, standard, and boundaries, with far fewer follow-up questions.
If it's not quite right
- First time delegating? Add "Add a line encouraging them to check in early and often."
- Sensitive task? Add "Note what must always be run past me first."
